Pareto Rule states that 80% of our routine activities contribute less than 20% to outcome of our work. So you need to prioritize your tasks in order to achieve more. Focusing on main things is the easiest way to improve your personal productivity. Prioritizing skill is an ability to see what tasks are more important at each moment and give those tasks more attention, energy and time.

Prioritizing Tips

  • In order to prioritize effectively you need to be able to recognize what tasks are more important and what are less important.
  • You should also see the difference between urgent and important tasks.
  • The important, or high priority, tasks are those tasks that help us to reach our long-range goals or could have other serious long-term consequences.
  • Perhaps, you think that many of the tasks you face every day are urgent and important simultaneously. But if you look closely at them, you will see that many of the urgent activities are not really important in the long run. And the most important things, such as education, self-development, or spending time with family, are not always urgent.
  • The good prioritizing practice is to finish all the important urgent tasks as soon as possible. Important urgent tasks are the ones that would get you into trouble, if you would not perform them. Then you should focus your attention and give more time to most important, but not urgent tasks, which are most worth-while in the long run.
  • When setting priorities ask yourself if some of your tasks can be delegated to somebody or even eliminated. It will help you to avoid overload.
  • You can prioritize not only planned, but also unplanned activities. Prioritizing unplanned activities is more difficult. In this case you don’t have enough time to evaluate situation as a whole, because you should make quick decisions. But you have to keep in mind your main goals. So, your effectiveness in such situations depends on their clarity.

Prioritizing Using VIP Software
